Three mistakes I see other office buyers make
Back in 2020, when I took over purchasing for our company, I could not tell a tile mortar from a wood-floor adhesive. That gap cost us a reorder, a lost day of installation labour, and one very pointed email from my boss. I have handled roughly 60-80 construction-related purchase orders per year since then, and the same checklist now runs before any Mapei order gets approved.
This checklist is for non-technical buyers: office administrators, facility coordinators, junior procurement people, and anyone who gets handed a short product name and is expected to order the right thing. It has seven steps. If you need to choose a chemical system based on engineering requirements, that is a job for a technical representative. But if the product has been named and you need to verify and buy it without making an expensive mistake, start here.
Step 1: Identify what is being installed and what surface it is going on
The first question I ask is boring but essential: what material is being installed, and what is the substrate? Tile over concrete, engineered wood over plywood, sheet vinyl over an old floor — all of these may involve Mapei, but they don't involve the same product family.
Do not shorten product names. When a document says Mapei Ultraflex 1 tile mortar with polymer, that exact phrase tells you it is a polymer-modified cementitious mortar for tile and stone. When you search for Mapei 977 adhesive, you are probably looking at a different part of Mapei's catalogue, closer to flooring adhesives. The same brand name doesn't mean the same chemistry.
Check the full product name against the job before you do anything else.
Step 2: Pull the technical data sheet before you add anything to a cart
Product listing pages are summaries. I read the technical data sheet, usually a PDF published by Mapei, and I look for the installation conditions: open time, adjustment time, curing time, required trowel notch, allowed substrates, and the stated coverage range.
If you're not a technical person, the easiest thing to check is whether the product meets recognised standards. For tile mortars, a reference to ANSI A118.4 — the modified dry-set mortar standard — is more useful than marketing words like strong or premium. Those standards give you something to verify instead of a feeling.
Step 3: Ask the moisture question before you place the order
The most overlooked step is finding out whether the concrete slab has been moisture-tested. It's easy to miss from an office: the slab looks dry in photos, and the person on site says everything is fine. Looking back, I should have demanded moisture test results before authorising a 2022 flooring project, not after. The slab was dry-looking. It also had a moisture vapor emission rate high enough to require a membrane, which changed both the product and the cost.
Ask two specific questions: Has the slab been tested for moisture, and what test method was used? ASTM F1869 measures moisture vapor emission rate in pounds per 1,000 square feet per 24 hours. ASTM F2170 measures internal relative humidity with probes embedded in the concrete. Those numbers determine whether a standard adhesive is enough or whether you need a moisture mitigation system.
Some vendors describe the issue as ethylene vapor pressure. Honestly, I'm not sure why that phrase comes up. My best guess is that it is a mash-up of moisture vapor pressure language and chemical names floating around a spec sheet. What matters is that you ask for the actual test standard and the actual number. If the supplier cannot name a test method, that is a red flag.
Step 4: Confirm real coverage, not marketing coverage
Many office buyers search for 20kg tile adhesive coverage to get a quick number. The honest math is boring: coverage depends on trowel notch size, substrate flatness, tile size, and technique.
For planning purposes with a typical cementitious Mapei tile mortar, a 6mm square notch trowel may spread a 20kg bag over roughly 8-10 square metres for wall tile and small-format tile. Drop to about 6-8 square metres per bag with a 10mm notch, and less than 6 square metres per bag when you move to 12mm notches plus back-buttering for large-format floor tile. These are planning ranges, not promises. The technical data sheet for your exact product overrides them.
Once you have a coverage range, do the arithmetic: total square metres divided by coverage per bag, then add 10-15 percent for waste and breakage. If the floor is not flat, add more. Running out of adhesive mid-job costs more than one extra bag.
Step 5: Compare total job cost, not price per bag
The cheapest bag can be the most expensive purchase if it covers less area, needs a primer, requires longer cure time, or fails on the slab. The purchase decision should be based on the total cost of a completed installation that doesn't need a callback.
In one 2024 vendor consolidation project, the lowest quote for an adhesive looked about $200 per pallet cheaper than the Mapei option. What the quote didn't show was lower coverage on the actual substrate, which meant more bags, more freight, and a longer installation schedule. That $200 saving disappeared before the first bucket was opened.
Time is also cost. If three installers stand idle for a day because the wrong product was ordered, the mistake costs far more than any price difference between products.
Step 6: Verify the full product name, code, and package size on the purchase order
A short internal note may say Ultraflex 1 or Mapei 977, but the purchase order should state the full Mapei product name — for example, Mapei Ultraflex 1 tile mortar with polymer — not a nickname and not a reseller abbreviation. Send the exact line to the installer or project lead and ask them to confirm it in writing before you approve the order.
If someone tells you to buy Mapei 977 adhesive, make sure that number comes from a Mapei datasheet or product packaging, not from a supplier inventory guess. It takes one email to confirm. It takes a lot longer to return an opened adhesive pail.
Step 7: Plan receiving and storage before the pallet arrives
Adhesive bags and pails need decent storage. Keep them off the floor, keep them dry, and keep them away from extreme heat or cold. A bag of mortar that gets wet on a loading dock can cause installation problems before it ever reaches the jobsite.
When the delivery arrives, check the product name, quantity, and batch numbers against the order. Record the batch information somewhere accessible. If there is ever a warranty claim or a performance question, you will need to show exactly which product and which batch went into the project.
Three mistakes I see other office buyers make
- Skipping the moisture test. The concrete looks fine. Moisture problems don't always show up visually, and they are expensive to fix after flooring is installed.
- Buying on unit price alone. Coverage, freight, labour time, and rework risk usually matter more than the difference in cost per bag.
- Falling into ingredient research. Somewhere along the way, you will type what is resistant wheat starch? into a search engine while reviewing an adhesive spec. Resistant wheat starch is most commonly a food-industry term for starch that resists digestion. When it appears in construction product documentation, it usually points to plant-derived additives or bio-based content, but it is not a performance rating. Ask the manufacturer for the safety data sheet or environmental product declaration if you need clarity.
Bottom line: your job is not to know every chemical detail. Your job is to verify that the product has a data sheet, the slab has a moisture test result, the coverage math is honest, and the total cost is calculated for the whole job.
